The exhibit hall
will be available for setup on Friday, Oct. 7, beginning at 1 p.m. and
Saturday, Oct. 8, between 7 a.m. and 10 a.m. before the show opens.
Tear-down will begin at 4 p.m. Sunday after the
show closes. The hall will also be open for final tear-down on Monday,
Oct. 10.

Vendor Guidelines and Other Important Information

1.a. Sponsors: The Big Texas Train Show is sponsored by Gulf Coast
Chapter, National Railway Histrorical Society, Inc. (GCC), a 501(c)(3)
educational organization incorporated under the laws of the State of
Texas. The event benefits Houston Railroad Museum, a project of GCC.
The event is made possible with the support and sponsorship of the City
of Houston Convention & Entertainment Facilities Dept.
b. GCC can be contacted by telephone at 1-832-675-1905 or by email at
info@bigtexastrainshow.com.
2.a. Vendors: By submitting this application, Vendor agrees
to hold harmless GCC, the sponsors and organizers of the Big Texas
Train Show for any and all actions that may occur involving the show
and Vendor agrees to take full responsibility for the safe and tasteful
conduct of its representatives while in attendance at the show.
b. GCC, the sponsors and organizers of the Big Texas Train Show reserve
the right to allow or disallow any particular Vendor from participating
in the show. Vendors are expected to offer train-related items at the
Big Texas Train Show.
c. Requests for refund of vendor fees will be considered on a
case-by-case basis. No refunds will be given after Oct. 1, 2011.
d. Vendors agree to keep their exhibits within the boundaries of the
space allocated, and not to encroach on space designated for other
Vendors, Exhibitors or movement of patrons throughout the
show.
e. Each Vendor representative will be provided an official badge which
must be worn at all times and will be required to enter the exhibit
hall.
f. Each vendor agrees to comply with the laws regarding Texas sales tax
and collect and remit such tax in a legal manner if required.
3.a. Show Venue, Hours, Setup and Tear Down: The venue is Exhibit Hall
B at the George R. Brown Convention Center, 1001 Avenida de las
Americas, Houston TX 77010. The show is open to the public from 10 a.m.
to 5 p.m. on Saturday, Oct. 8, and from 10 a.m. to 4 p.m. on Sunday,
Oct. 9. Vendors and Exhibitors are expected to be fully set up and
manning their space for the full duration of the public show on both
days.
b. Setup hours are 1 p.m. to 11 p.m. on Friday, Oct. 7, and 7 a.m. to
10 a.m. on Saturday, Oct. 8. Note that all tables may not be set up
and available immediately at 1 p.m. on Friday.
c. Vendors with trucks/trailers who want to drive into the hall to
unload will be able to do so between 1 p.m. and 7 p.m. on Friday
only. You must make advance arrangements if you want to drive into the
hall, and your vehicle may not remain in the hall for more than 45
minutes.
d. Teardown hours are 4 p.m. to 11 p.m. on Sunday, Oct. 9, and 7 a.m.
to Noon on Monday, Oct. 10. The exhibitor access points will not be
opened for removal of any items outside these hours.
e. Vendors with trucks/trailers who want to drive into the hall to load
will be scheduled to do so beginning at 4:30 p.m. on Sunday. You must make
advance arrangements if you want to drive into the hall, and your
vehicle may not remain in the hall for more than 45 minutes. All Vendor
vehicles must be removed from the hall by 11 p.m. The hall will also be
open to vehicles on Monday, Oct. 10, by arrangement.
4.a. Parking and Security: Exhibitor and Vendor parking will be
available at no charge on Friday, Oct. 7, for setup and Monday, Oct.
10, for teardown. Exhibitor parking will be available behind the
convention center near the exhibitor entrance on the show dates for a
fee. The fee currently is set at $7 per day, but this is subject to
change. Note that you will not have to pay to access the hall for setup
Saturday morning or for teardown Sunday after 4 p.m., but you will have
to pay to park during the day.
b. Security will be provided in the exhibit hall at all times the hall
is accessible either to Exhibitors or the Public. GCC, the organizers
and sponsors take no responsibility for loss or damage at any time to
any property left in the exhibit hall.
c. A limited amount of storage space for small trailers may be
available in the exhibit hall for a fee. No motorized vehicles or
vehicles equipped, holding or loaded with any combustible or hazardous
substance can be stored in the hall. GCC, the organizers and sponsors
take no responsibility for loss or damage at any time to any property
left in the exhibit hall. If space is available, you must make advance
arrangements and arrive
on Friday, Oct. 7, by 7 p.m. if you want to store a trailer in the
